Privacy policy.

What we collect, what we use it for, and what we never do with it. Project-engagement privacy terms live in your SOW.

Who this covers

This policy applies to proitnw.com and the project intake and contact forms hosted on it. It does not govern in-flight client engagements — those are covered by the privacy and confidentiality terms in the executed Statement of Work and Master Services Agreement, which take precedence.

What we collect

  • ·Information you submit through forms — name, company, work email, phone (optional), workload selection, seat or VM count, target timeline, and free-text notes you provide. These are sent to our intake handler and reach a human at Pro IT NW within two business days.
  • ·Basic web request data — IP address, user agent, referring URL, and request timestamps. Standard server logs, retained for security and abuse prevention.
  • ·Chatbot conversations, when the intake assistant on the site is active. Conversations are retained for project qualification only.

We do not use third-party advertising trackers, analytics fingerprinting, session-replay tools, or behavioral profiling on this site.

What we use it for

  • ·Responding to your inquiry and scoping potential work.
  • ·Sending follow-up communication you've asked for or that's directly relevant to a quoted project.
  • ·Operating, securing, and improving the website itself.
  • ·Meeting our legal and tax obligations.

What we never do

  • ·We do not sell, rent, or license your data to anyone. Our entire business model is labor-only — we don't resell hardware, software, services, or data, in either direction.
  • ·We don't share your contact information with vendors, partners, or referral networks without your explicit written consent.
  • ·We don't use your inquiry to train AI models, build datasets, or feed third-party intelligence platforms.
  • ·We don't send marketing newsletters unless you specifically opt in.

Service providers we rely on

To operate the website and intake flow we use a small number of standard infrastructure vendors. Each is bound by their own commercial privacy terms, listed for transparency:

  • ·Form intake — Cloudflare Worker hosted at forms.proitnw.com (under our control, no third-party SaaS). Receives the contents of any form you submit and forwards it to Pro IT NW.
  • ·Hosting + DNS — GoDaddy (web hosting) and Cloudflare (DNS/CDN, forms.proitnw.com Worker, Turnstile anti-bot challenge, Email Sending for transactional emails). Standard server logs.
  • ·Email — Microsoft 365 hosts our `@proitnw.com` mailboxes. When you email us, the message is stored in Microsoft's data centers under their commercial privacy terms.

We do not embed Google Analytics, Google Fonts, Meta Pixel, LinkedIn Insight Tag, HubSpot, or similar tracking. Fonts are self-hosted on our own server.

How long we keep things

  • ·Form submissions: retained while a project is being scoped, then archived for record-keeping. Inquiries that don't lead to engagement are deleted on request.
  • ·Web server logs: retained 90 days, then rotated.
  • ·Engagement records: retained per the executed SOW and applicable tax/regulatory requirements.

Your rights

You can ask us to confirm what we have, correct it, delete it, or export it. California (CCPA/CPRA), EU (GDPR), and UK (UK GDPR) residents have specific statutory rights — those apply to Pro IT NW where the law reaches us. To exercise any of these, email [email protected]. We respond inside 30 days; usually inside two business days.

Children

This is a B2B consulting site. We do not knowingly collect information from anyone under 16.

Changes to this policy

When we update this policy we revise the "Last updated" date at the top. Material changes that affect existing inquiries are also communicated by email where possible.
